As a Payroll & Administrative Specialist you will be required to manage, maintain and enhance the aspects of Payroll & Invoice Processing and Facilities & Office Administration processes, by implementing and evaluating employee relations with the following responsibilities: - Manage employee payroll processing system, compensation & benefits and administration - Oversee processing of payroll (e.g. new hires, terminations, salary changes, compensations, deductions, bonus, vacations payouts, overtime and benefits) and system upgrades - Partner with a third-party company responsible for Payroll processing, ensuring that employee payroll is processed accurately and timely, with the correct amount incorporating overtime, deductions, profit sharing, benefits, etc - Assist with processing paperwork for new hires, terminations, transfers and employee changes - Responds to inquiries from employees about benefits, salaries and wages - Tracks vacation and sick hours to ensure that they are accurately listed on pay stubs - Review payroll reports and timesheets for correctness before payroll transactions - Resolves any discrepancies surrounding payroll issues - File and maintain documents and employment records into appropriate files in a timely manner - Assure confidentiality and security of records and information - Manage the time clock system and interactions with the employees - Provide a support to employees for questions and guidance on HR issues related to payroll, compensation & benefits and local legislation - Ensure that our policies are 100% compliant with applicable laws and regulations - Utilize and ensure the SAP/HRIS is accurate and up-to-date - Provide administrative support to ensure efficient operation of the office by supporting managers and employees through a variety of tasks related to Facilities, Finance (invoice and billing processing), IT and general purchase - Perform general clerical duties including faxing, copying, filing, greeting visitors to the office, answering phone calls, giving assistance as needed - Office administration, business expenses and payments - Maintain spreadsheets, create reports and track facility budget - Maintain relationship with vendors and suppliers - Purchase stationery and office supplies negotiating price, quality, and delivery - Plan and manage facility services such as cleaning, office building, layout, furniture, and parking - Supervise maintenance and repair of facilities and equipment -Align IT office needs with our IT area (laptops, network, cables)

Experiências:
Required Experience: - Bachelor/University degree in Business Administration and minimum of 7+ years of work experience in an administrative capacity - Knowledge of general employment legislation and the application of regulations in Brazil - Bilingual in Portuguese and English - Experience with HRIS and/or payroll systems are desired - Experience with MS-Office in advanced level (Word, Excel, Power Point) - Expertise in Payroll, Compensation and Benefits administration - Expertise in core Administrative areas (Facilities) Desired Skills: - Excellent communicator, written and oral and interpersonal skills - Excellent problem solving and execution skills with a high level of responsiveness - Team player who has the ability to meet deadlines while managing multiple tasks - Time management and effective planning - Ability to work in diverse teams - Passionate, employee advocate who wants to make a difference in the organization by helping employees succeed - Supportive team player with a strong drive to create a positive work environment - Applies solid judgment ensuring integrity, compliance, & confidentiality - Sound knowledge of local labor laws and government requirements - Detailed-oriented with excellent organizational & documentation skills - Self-motivated, and comfortable with technology. You must be able to maintain focus on tasks and deliverables under tight deadlines
